7. Candidate-specific processing
Applications for a specific role
If you apply for a specific vacancy, we process your personal data in order to assess your suitability, communicate with you, manage the recruitment process and, where relevant, present your profile in the context of that opportunity.
Sourced candidates
If we identify you via a professional network, job board, referral or another professional source, we may process limited professional information to assess whether our services or a vacancy may be relevant to you.
Future opportunities and candidate network
Recruitment services are not always limited to a single application or vacancy. As part of our legitimate interests in operating a recruitment business, we may retain and use candidate information to consider whether a candidate may be relevant for future roles, projects or client needs, provided that such retention remains proportionate, relevant and lawful.
Where we determine that consent is appropriate or required for retention beyond an active recruitment process, we may request such consent separately.
Sharing candidates with clients
We may share candidate information with clients or prospective clients where this is relevant to our recruitment services and where there is a valid legal basis for doing so. We aim to do so only in a controlled recruitment context and with appropriate transparency.

Candidates in an active recruitment process
Where a candidate is involved in an active recruitment process, we retain personal data for the duration of that process and for a limited period thereafter as reasonably necessary for recruitment administration, evaluation, follow-up, handling candidate queries, internal recordkeeping and the establishment, exercise or defence of legal claims.
Unsuccessful applicants
Where a recruitment process has concluded and no further lawful basis applies, we may delete candidate data in accordance with applicable law and regulatory guidance. In the Netherlands, the Dutch Data Protection Authority states that it is customary to delete the personal data of unsuccessful applicants no later than 4 weeks after the end of the application procedure, unless there is a lawful basis to retain the data for longer, such as consent.
Candidate network and future opportunities
As a recruitment agency, we may retain candidate information for future recruitment opportunities where this remains relevant, proportionate and compatible with the original recruitment-related purpose or otherwise supported by a valid legal basis. We may periodically review whether continued retention remains appropriate. Where consent is used as the legal basis for such retention, candidates may withdraw that consent at any time.
Clients, suppliers and business contacts
We retain personal data for as long as necessary to manage the relevant business relationship and thereafter for as long as necessary to comply with legal, tax, accounting, regulatory and evidential requirements.
